- If cancelling 7 days before arrival, forfeit 100% of the booking total.
- If cancelling 14 days before arrival, forfeit 100% of the deposit.
- If cancelling 21 days before arrival, forfeit 50% of the deposit.
- If cancelling 30 days before arrival, forfeit 25% of the deposit.
Requesting an Accommodation Agreement:
1. When requesting an Accommodation Agreement with the Guest House, please provide the Guest House with the following information:
1.1 Names and contact information of guests.
1.2 Dates of stay and estimated time of arrival (ETA).
1.3 Pay the accommodation fee normally the basic accommodation fee as specified on the website where the booking was made on.
1.4 Other items as specified by the Guest House.
2. If guests wish to extend their stay beyond their initial booking date/s, the Guest House will process such request as an offer for new Accommodation Agreements at the time such request was made.
Arrival & Departure:
1. Rooms will be assigned to guests at the discretion of the Guest House.
2. Check-in Times: Check-In times are strictly between 2:00pm and 10:00pm on the day of arrival. If an earlier or later check-in time is required, guests must give the Guest House prior notice of their intention to arrive outside the official check-in times or a Late-Arrival Fee could apply. Walk-in guests must pay their bills for accommodation upon arrival.
3. Unless a late arrival time (after 10:00pm) has explicitly been agreed upon, it remains the prerogative of the Guest House to assign booked rooms to other prospective guests. Late arrivals will derive no rights to compensation, as a consequence.
4. Check-out Times: Please be ready to leave your accommodation by 10:00am on the day of your departure, unless otherwise arranged & agreed upon. Hand in the room keys and remote controls at Reception please.
5. It is unequivocally understood by guests that the Guest House is not a Hotel and there is no 24-hour reception in operation. As such, if a check-in time is agreed upon, and guests still arrive later than one hour after such agreed check-in time, guests will be liable for a Late Check-In Fee. Should guests not give prior notice to the Guest House of their expected time of arrival (ETA), it is clearly understood and accepted that guests will arrive between 2:00pm to 10:00pm.
6. Guests must inform the Guest House no later than 8:00pm on the day before their departure of their intension to vacate their rooms after the official check-out time of 10:00am. In the event of a departure between 11:00am and 6:00pm, an additional half-day tariff will be charged. If the departure is after 6:00pm though, an additional full room price will be charged.
7. The Guest House reserve the right to amend room allocations. This is usually based on guests requirements, length of stay and occupancy levels. Such amendments will as soon as possible be communicated to guests via email or immediately at arrival.
Prohibitions:
1. Guests will not let others, including family, friends & visitors stay at the Guest House, or let them use the Guest House facilities which is strictly and only for the use of resident guests.
2. Before the date of arrival, the Guest House may contact guests through the contact information provided online for confirmation of bookings, expected time of arrival (ETA), etc., in such cases, guests are expected to respond unless unavoidable circumstances preclude them from doing so.
Refusal to Conclude Accommodation Agreements:
In any of the following cases, the Guest House may decline to honour the Accommodation Agreement:
1. The request for accommodation is not made in accordance with this Terms and Conditions.
2. The Guest House is fully booked and there are no rooms available.
3. The person intending to stay at the Guest House is deemed to violate or has violated applicable house rules, laws, public order or public morals during the stay.
4. The person intending to stay at the Guest House is clearly infected with an infectious disease, e.g., Covid-19, Influenza, etc.
5. The person makes demands exceeding the reasonable extent with respect to the stay.
6. The Guest House is unable to provide accommodation due to the following but not limited to: acts of nature, other force major events and government travel bans.
7. In the case of smoking in bed, improper use of fire extinguishing equipment, or other actions prohibited by the Guest House “Terms of Use,” insofar as they involve matters necessary for fire safety.
8. Any of the following items apply to the person intending to stay at the Guest House:
8.1 Such guests are members of or in any way affiliated with a Violent Organization.
8.2 Such guests become a significant disturbance to other guests of the Guest House, by words, act or deed.
8.3 Such guests make demands by violence or threat of violence against, or otherwise make demands on the Guest House or its employees exceeding the reasonable extent.
8.4 Such guests violate this Terms and Conditions, Terms of Use, etc.
Rights of Cancellation of the Guest House:
1. The Guest House may cancel Accommodation Agreements in the event of any of the following:
1.1 The person intending to stay at the Guest House is deemed to violate or has violated applicable laws, public order or public morals during the stay.
1.2 The person intending to stay at the Guest House is clearly infected with an infectious disease.
1.3 The person makes demands exceeding the reasonable extent with respect to the stay.
1.4 The Guest House is unable to provide accommodation due to the following but not limited to: acts of nature, other force major events and government travel bans.
1.5 In the case of smoking in bed, improper use of fire extinguishing equipment, or other actions prohibited by the Guest House “Terms of Use” insofar as they involve matters necessary for fire safety.
1.6 Any of the following items apply to guests:
1.6.1 Such guests are members of or in any way affiliated with a Violent Organization.
1.6.2 Such guests become a significant disturbance to other guests of the Guest House, by words, act or deed.
1.6.3 Such guests make demands by violence or threat of violence against, or otherwise make demands on the Guest House or its employees exceeding the reasonable extent.
1.6.4 Such guests violate this Terms and Conditions, Terms of Use, etc.
Times for Use of Common Areas & Guest Suites:
1. Guests are only able to use allocated rooms within the times the Guest House specifies, unless otherwise stipulated. In the case of a continuous stay of two or more days, guests may use rooms throughout the day on all days except the date of arrival and departure.
2. Notwithstanding paragraph 1 above, guests may only use the Coffee Shop for the enjoyment of meals and drinks until 9:00pm.
3. However, guests need the Guest House authorization if they were to use the Coffee Shop for any reason other than explained in paragraph 2.
4. The following areas are out of bounds for all Guest House residents, while others may only be entered with the presence of management or staff:
- Room 1, Office, Scullery, Kitchen, large living room, barbecue area.
5. For the use of the following appliances, tools & equipment please talk to the Guest House Management in the first instance:
- ironing facilities, hairdryer, coffee machine
6. Common BBQ: The barbecue area can be booked and charges will apply for the use of barbecue wood, firelighters, cleaning, etc. Please keep the BBQ area clean. After use leave it as you have found it. Never leave the barbecue area unattended once it has been lit. Keep children away from the barbecue area or while under supervision, please consider a 1-meter “kids-free zone” around the barbecue.
7. Quiet Time is at night from 10:00pm till 10:00am the next morning to consider other guests staying over.
NB: Because we have several guests, we ask you to respect each other concerning cleanliness of the common areas and noise levels.
If we receive complaints, you will be given a final warning. Further complaints could result in the termination of stay. We reserve the right to terminate a reservation if guests become a disturbance or nuisance to others including management.
Please respect the Guest House and residents.
Hours of Operation:
The hours of operation of the main Guest House facilities are as follows:
(a) Quiet Time : 10:00pm to 10:00am
(b) Front-Desk : 08:00am to 10:00pm
(c) Coffee Shop : 08:00am to 9:00pm
Payment:
1. Walk-in guests will pay accommodation fees at the Front Desk either in cash, or otherwise by visa/credit card at the time of arrival. Any further costs incurred during the stay must be paid in full when either the Guest House charges the bill or on the day of departure.
2. Should we receive other guests seeking accommodation and we have provisional bookings and payment is not received yet, the Guest House reserve the right to contact such guests with provisional bookings to request payment or the releasing of rooms. In such cases the Guest House will request a response from them within 48hrs or rooms will automatically be released and availed to new prospective guests.
Storage of Guests’ Hand Luggage and Personal Effects:
1. If Guest luggage arrives at the Guest House before guests, and only if the Guest House accepts such arrival in advance, the Guest House shall be responsible for storing such luggage, and the Guest House shall return it to guests when they check in.
2. If Guest hand luggage and personal belongings are found left at the Guest House after they have checked out, the Guest House, in principle, shall wait for inquiries from them and ask for instructions. If no instructions are given from guests, the Guest House will handle it through the Guest House Policy based on Lost Property. In some cases these items will be referred to the South African Police for directions, instructions, etc. Perishable food, drinks, or insanitary goods on the other hand, will immediately be disposed of by the Guest House.
Liability:
You will be liable for any damage or loss caused to any property of the Guest House through your acts or omissions, default, accident or neglect. By booking with us you agree to indemnify us and to pay us on demand an amount reasonably required to make good or to rectify such damage or loss caused by you. Normal wear and tear are excluded.
We provide free parking on the premises for up to three vehicles for Guest House residents only. Please bear in mind though, the Guest House is merely the lender of a parking space and is not liable for the care and security of vehicles and possessions of guests. Guests are parking vehicles solely at their own risk. Please DO NOT leave any valuables inside parked vehicles. Long Term or Stay-Over guests must lock their rooms on their way out and please ensure all electrical appliances are switched off. Please report accidents or incidents without delay to the Guest House management especially in connection with property damage or maintenance issues.
General Incapacity:
1. The Guest House cannot be held liable if any of the following events or conditions prevent the Guest House from fulfilling its obligation of providing accommodation and services to guests. However, the Guest House will take the necessary steps to minimize disruption and discomfort to guests under these conditions:
1.1 Unanticipated interruption to electricity, water, sewage to and from the Guest House.
1.2 Industrial actions, civil uprising or criminal activity.
1.3 Fire, frost, flooding, wind or any other force major event.
Other Important House Rules & Conditions:
1. Entering or Exiting the Guest House Premises: The vehicle entrance/exit gate is strictly controlled by Kia Ora Guest House management or staff. Therefore, guests are requested to inform the Guest House on the day preceding their departure of their expected time of departure (ETD) the following day which includes early departures. It is the motto of Kia Ora Guest House to “See Off Guests” regardless of the time of departure. During such time and upon the request of guests, the Guest House will give guests a wake-up call to ensure they depart on time.
2. Damages, Breakages, Lost Keys & Remote Controls: Please take care when using or handling any of the accommodation facilities. You are responsible and liable for any breakages, damages including any accidents that may occur while you occupy the room. In the case of any damage/loss, you are liable for the cost to either replace or repair damaged or lost items/goods. The costs will be taken from the credit card used to secure your booking or pay for the stay. Our affiliated booking partner will be contacted in this regard. This also applies to anything that is missing or replaced from your room during your stay. A lost key will incur a R100 fee and a missing or broken remote control will incur a R250 fee.
3. Children: No children above 10 years (including adults) are to sleep in Kia Ora Guest House Room 3 interleading room as stipulated. Children must be under their parent’s supervision at all times and guests to have consideration for other guests.
4. Right of Admission: The Owners and Management of Kia Ora Guest House reserve the right of admission, and should guests behave unacceptably, appropriate steps will be taken.
5. Visitors of Guests: Visitor access will only be allowed by prior arrangement & management approval.
6. Events: All events will either be hosted in the Coffee Shop or outside weather permitting and must be booked at least 1 week in advance. Please do not use Guest rooms for business activities or for any purpose other than accommodation.
7. Meals: Kia Ora Guest House provide breakfast, lunch and dinner in the Coffee Shop or as takeaways in accordance with a set menu and price. However, lunch and dinners must be ordered at least 1 day in advance. Breakfast is served in the Coffee Shop from 8:00am till 9:30am. If you require a different time for breakfast, please advise the Guest House upon arrival. Eating food inside rooms which needs preparation, is strictly forbidden, this includes the long storage of perishable food.
8. Internet Access: We provide free wireless internet with compliments of Airpark CC in Beaufort West. As the service is beyond our control, we could not guarantee internet quality.
9. Smoking: Smoking is strictly forbidden inside the Guest House. A smokers area is reserved for smokers next to the garage. Please use the containers provided for cigarette butts. Should you found to be smoking inside a room or anywhere in the Guest House, a charge of R500 will apply to cover the professional cleaning/removal of smoke odour from fabrics and furnishings.
10. Pets: While the owners of Kia Ora Guest House are a pet loving family, the Guest House sadly lacks facilities at the moment to accommodate pets safely. Pets are therefore not permitted anywhere on the Guest House premises.
11. Terms: Terms are binding to all Guests/Groups/Events who paid to stay, host or visit Kia Ora Guest House & Coffee Shop.
Environmental Policy:
1. The owners of the Guest House are dedicated to the protection of our planets’ resources and as part of that plan we will encourage our guests to conduct themselves in a manner which is environmentally responsible.
We will:
1.1 Seek to use as little water and energy as possible
1.2 Switch off all lights and appliances when not required and ask guests to do likewise.
1.3 Ensure that taps are always turned off after use and adhere to the local Municipality’s Notice on water shortage in the Beaufort West, Karoo area.
1.4 Encourage to reuse towels rather than opt for single use.

Compliance:
